Already know what you want built?

Get your first AI workflow built, from input to finished handoff.

V12 Labs is a senior build team for intake, finance operations, support, and sales follow-up. We build the workflow, integrations, and review tools together. You see weekly demos on your real data, approve consequential actions, and own the code.

Bring your workflow or build brief. The call ends with a written agent plan, scope, and timeline. You keep the plan whether or not we build it together.

Start with one input, one review step, and a completed output.

Choose the handoff your team needs finished. These are workflow examples, not client results. We agree the tools, review points, and completion checks for your build before work starts.

Example: Intake

Enquiry to assigned next step

A form or email arrives. The agent gathers the details, checks what is missing, and prepares an intake record. A person reviews uncertain details and any customer-facing action. The completed handoff is a reviewed record assigned to the right person, with a clear next step.

Example: Finance operations

Invoice to reviewed accounting entry

An invoice arrives by email. The agent extracts the details and prepares a proposed accounting entry. A reviewer checks the document and approves the entry before it is posted. The completed handoff is a reviewed entry in the agreed accounting system, with an action history.

Example: Support

Request to approved response

A support request arrives. The agent brings together the relevant history and drafts a response using approved information. A person reviews the customer-facing reply; uncertain requests go to the right team member. The completed handoff is an approved response and an updated case record.

Example: Sales follow-up

Lead notes to approved follow-up

New lead notes arrive. The agent prepares a follow-up draft and a proposed next step in your existing system. A person approves the message before it is sent. The completed handoff is a recorded follow-up with an owner and next action.

Agree the scope. Review the build. Receive the handoff.

  1. 01

    Scope the workflow

Start with a free 30-minute call. We define the input, completed output, integrations, and decisions that need your approval. You receive a written agent plan, scope, and timeline. If a packaged tool or a simple rule is a better fit, we say so.

  2. 02

Build with weekly demos on real data

One senior team builds the agent, integrations, and review queue. You see working software on your real data each week and give feedback while it is being built.

  3. 03

    Launch and hand over

We launch the agreed workflow with logs and human fallbacks, and hand over the code and operating information. We set up and maintain the workflow. Before launch, we agree monitoring, maintenance responsibilities, and how your team gets help.

Keep consequential decisions with your team.

Approvals

We build approval rules around your team and systems. Actions involving money, customers, and contracts require human sign-off by default.

Action logs

Reads, decisions, and writes leave a traceable action history.

Low-confidence fallback

When confidence is below the agreed threshold, the agent stops and hands the work to a person.

What happens when it's unsure?

Illustrative walkthrough — not a client result or a verified demo.

  1. 1

An invoice arrives with an unclear account assignment.

  2. 2

The agent cannot confidently choose the account. It holds the proposed entry for human review rather than posting it.

  3. 3

The reviewer checks the source invoice and corrects the proposed account.

  4. 4

After approval, the workflow continues with the reviewed entry. The action history records the review and the completed step.

We agree how your team reviews, corrects, and resumes work when something goes wrong. Approvals and fallbacks help your team catch mistakes. They do not guarantee that every mistake will be caught.

You own the code. Make the handoff usable.

You receive the code for your workflow. Before building, we agree the handoff details and third-party obligations so your team or next maintainer knows what they will receive.

Handoff details to agree

  • Repository access and the agreed integrations.

  • Prompts, configuration, and approval rules.

  • Operating instructions for reviewing exceptions and responding to failures.

  • Deployment instructions for the agreed environment.

  • Maintainer walkthrough and ongoing responsibilities.

Two kinds of engineering proof.

One shows delivery of business-critical software. The other lets you inspect our phone-agent engineering. Neither establishes measured savings, accuracy, or client production-agent results.

Client work

Accounting app rebuild

We rebuilt a business-critical accounting app from Electron to a maintainable web platform for a leading U.S. cemetery and funeral services company. This is evidence of delivering business software; it was a software modernization project.

VocalDesk

VocalDesk is a platform for building and testing AI phone agents. Its public code includes phone-agent configuration, call logs, live-transfer settings, and call-summary notifications. It shows the software around a voice agent, without claiming client deployment results.

Common questions

When is a custom workflow worth building instead of Gemini, Muse, Zapier, or Lindy?

Use a platform when its connectors and approval model fit the job. Consider a custom build when your handoff spans systems a packaged tool does not cover cleanly, needs your approval rules inside your systems of record, or needs ongoing maintenance. We agree integration fit and scope before building. If a packaged tool fits better, we say so.

Why not use no-code or a freelancer?

Either can be the right choice for a narrow workflow with standard tools. Choose V12 Labs when you want a senior team to set up and maintain the complete handoff, integrations, and review tools, with weekly demos on your data. Compare scope, failure handling, code ownership, and ongoing responsibilities.

What happens when the agent is wrong?

We build approval rules around your workflow, with sign-off for money, customer, and contract actions by default. Low-confidence work goes to a person, and action logs help your team review what happened. We agree how to correct and resume work when something goes wrong. These controls help catch mistakes; they do not guarantee every mistake is caught.

Who owns and maintains it after launch?

You own the code. We set up and maintain the agreed workflow; before launch, we agree monitoring, support, and responsibilities for changes when tools or models shift. We also agree handoff details and third-party obligations before building. Code ownership does not remove the need for updates and security fixes.
